Maintenance
Maintenance (/settings/maintenance) gathers the data hygiene tools for people: standardize phones and names, find duplicates, clear out empty records and fetch photos.
Scope
The tools act on one company at a time. The scope comes from the selector at the top, and the screen says so: "Applied only to the selected company." Under "Consolidated", it asks you to pick one before running anything.
The five tools
| Tool | What it does |
|---|---|
| Adjust phones | Classifies each phone as mobile or landline using Anatel rules — 11 digits with the third one equal to 9 is a mobile; 10 digits with the third one between 2 and 5 is a landline. Anything that doesn't fit is left unclassifiable |
| Normalize names | Converts people's names to uppercase, preserving accents |
| Detect duplicates | Looks for repeated records by same name, first + last name, same email, same phone or same document, and groups them for you to merge |
| Clean empty people | Lists people with no document, no email, no phone and no linked records, ready for removal |
| Fetch photos | Looks up each person's photo on Gravatar (by email) and on WhatsApp (when the number is public and the company has Evolution credentials). Anyone who already has a photo is skipped |
Nothing runs on its own
These tools cannot be scheduled: they run when you click, and only then. There is no periodic execution and no automatic trigger — none of them fire when a person is created or a file is imported.
That doesn't mean the screen freezes while they work: once started, some run in the background and show progress right there. Both things are true at once — what doesn't exist is scheduling, not asynchrony.
Merging duplicates
Once the groups are detected, you pick which ones to merge. In each group, one record is marked Survivor — that's the one that stays, taking on the data and the links from the others. The button is "Merge selected", and the confirmation tells you how many groups will be processed and how many people will be merged into the survivor.
Cleaning empty people
The list shows each empty person and when they were created, with "Select all" and "Remove selected".
Removal is the same deletion as in People, and it is irreversible. The confirmation is explicit — "This action cannot be undone via the UI." The records disappear from the screens, their financial history stays, and the document is freed up.
Fetching photos
See People for how the photo is chosen and where it shows up. In short: Gravatar first, WhatsApp as a fallback, a ceiling of 100 people per run, and anyone who failed waits 30 days before the next attempt.
What about account settings?
There is no "Settings" screen in the product — the System group in the menu has only Integrations and Maintenance.
- Your account details and how signing in works: My profile.
- Connections to external platforms: Integrations.
